A virtual assistant or an AI office: which one do you need?
A person and an AI are good at different work. Here they are side by side for the jobs small businesses hand over, which one fits which work, and the four questions to ask either before you start.

Side by side.
| The job | A virtual assistant | An AI office |
|---|---|---|
| Answering customers | In their working hours, with judgement and a human touch | At any hour, in the customer's language, only from your written answers; the rest comes to you |
| Booking appointments | By checking your calendar when they are working | From your calendar's real free times, at once, with reminders |
| Phone calls and errands | Yes: calls, suppliers, anything outside a screen | No errands; it works in your mail, chat, calendar and books |
| Posts and finding customers | If they have the skill and the time | Every day: posts from your own photos, people asking online found, all waiting for your OK |
| Receipts and invoices | Typed in by hand | Read from photos and mail, every figure checked by code |
| Judgement about people | Yes | No: anything new, public or about money waits for you |
| Getting started | Finding, hiring and training someone | An afternoon: it reads your website and asks what it could not find |
Which one you need.
- An AI office if most of your week goes on the same questions, bookings, posts and paperwork, and you want them done at any hour, the same way every time.
- A virtual assistant if the work is phone calls, errands, judgement calls with people, or tasks that change every day.
- Both if you have a person already: the office takes the routine, and the person gets the work that needs a person. Give them a staff role in your office, and they see only what that role needs.
Ask either one
- What happens when they do not know?
- What may they do without asking you?
- Who sees your customers' data?
- How do you see what they did?
How a Neaion office answers those four.
When it does not know, it asks you, and remembers your answer. Without asking, it answers from your rules, offers free times and reads documents; anything public, anything about money and anything new waits for your yes. Your customers' data is hosted in the EU and read only by the providers named on our sub-processors page. And every answer shows the rules it came from, while a summary each evening says what your office did. See what each plan does, or open a sample office.
Asked before you start.
Can an AI office replace a virtual assistant?
For routine work that rests on written facts, such as common questions, bookings, posts and receipts, often yes. For phone calls, errands and judgement about people, a person is better.
Can I use both?
Yes. Give your assistant a staff role in your office: the office takes the routine, and they see only what their role needs.
How long does an AI office take to set up?
An afternoon: it reads your website, asks what it could not find, and nothing goes live until you have checked it.
